Privacy Policy

The short version

• Your records belong to you. You can export everything, any time, in court-ready form.
• We never sell your data or share it with advertisers. Period.
• We collect the minimum needed to run the service, and nothing runs analytics on the contents of your ledger.
• Card payments are handled entirely by Stripe — card numbers never touch our servers.

What we collect

Account data: the name you give your account, your email (used for your payment receipt and support), your plan, and a hashed access token. We store the token only as a cryptographic hash — we cannot read it back.

Your records: the transactions, receipts, property values, and accounting periods you enter or import. These exist to produce your court filings and for no other purpose. Receipt images are stored on our servers and served only to your authenticated account.

Payment data: processed by Stripe, Inc. under their privacy policy. We store only Stripe's identifiers (customer, subscription, checkout session) — never card details.

Technical data: standard server logs (IP address, request path, time) kept briefly for security and rate limiting.

How your records are protected

All traffic is encrypted in transit (TLS). Each account's ledger is stored in its own isolated database. Every entry is kept in an append-only, hash-chained log — records can be corrected by adding a new entry, but history can never be silently edited or deleted, by anyone, including us. Data is stored on persistent volumes with automated backups on infrastructure provided by Railway Corp. (US).

Who can see your data

You, anyone you share your access token with (such as a view-only attorney seat you invite), and — strictly for support and operations — authorized IBEX personnel. Our service providers (Railway for hosting, Stripe for payments) process data under their own agreements. We disclose data only if legally compelled.

Retention and deletion

We retain your records while your account exists because they are your court filings' source of truth — courts commonly require fiduciaries to keep records for years. If your subscription lapses, your records remain readable; we never hold court records hostage. To delete your account and data permanently, email [email protected] — export first, because deletion is irreversible.

Children

ClerkProof is for adults serving as court-appointed fiduciaries. Ward information you record is entered by you as part of your court duties.
